Sourcing equipment from China: write an RFQ suppliers can answer
Samiyah Group · Published · Updated

Quick answer
A useful equipment RFQ states what the system must do, under which conditions, what is included and how acceptance will be judged. Ask suppliers to identify deviations and missing information instead of accepting vague confirmation.
Key takeaways
- Describe the operating result before naming a preferred model.
- Use the same scope and test basis across suppliers.
- Make documentation, spares and installation interfaces explicit.
Give suppliers a decision basis
A machine name and desired price rarely give a manufacturer enough information to select a suitable configuration. Describe the product or process, required output, operating hours and site conditions. Include the range of materials or products where that affects performance.
If important information is unknown, say so. Ask the supplier which assumptions were used and which inputs must be confirmed before order. This produces a more useful technical conversation than a blanket request for the “best machine”.
Separate mandatory requirements from preferences
Mandatory requirements define the boundary for evaluation. Preferences may leave room for an alternative proposal. Invite alternatives in a clearly separate section so a lower-cost option is not mistaken for compliance with the original scope.
Specify the whole package
| RFQ section | Include | Ask the supplier to return |
|---|---|---|
| Operating duty | Product, capacity and conditions | Offered performance and its assumptions |
| Site interfaces | Space, utilities and connections | Layout and utility schedule |
| Supply scope | Main equipment and accessories | Itemised inclusions and exclusions |
| Verification | Required test and inspection basis | Proposed evidence and test conditions |
| Handover | Manuals, spares and training | Document and service commitments |
Make comparison possible
Request a model-specific offer, a deviation list and a schedule of required owner inputs. Compare delivery and service obligations as well as the headline equipment price. A cheaper supply boundary can create additional owner work in installation, controls or commissioning.
Manufacturer identification and capability claims need verification appropriate to the purchase risk. A website, brochure or certificate image alone should not settle that question. If an audit or witnessed test is needed, define its scope and acceptance basis separately.
Before sending the RFQ
- Units and operating conditions are stated consistently.
- Technical assumptions are clearly labelled.
- Supplier and owner scope boundaries are visible.
- Required documents and test evidence are listed.
- Alternatives and deviations must be identified explicitly.
- The internal technical reviewer is named.
Frequently asked questions
Should we request only one preferred brand or model?
That depends on the project requirements. If alternatives are permitted, define the performance and compatibility criteria they must meet rather than assuming any nominally similar machine is equivalent.
Can a catalogue capacity be used as a guarantee?
Only if the supplier agrees the relevant operating conditions and contractual acceptance basis. Catalogue values may describe conditions different from your process.
What happens after quotations arrive?
Build a technical comparison, resolve missing information and record remaining deviations. Keep the procurement decision separate from unsupported assumptions about the supplier or equipment.
